外貿郵件除了要簡潔明了,條理清晰,主旨明確。
通常一篇完整的商務郵件包含以下幾個部分:稱呼,開篇,正文,結束語,禮貌問候。

Salutation——稱呼

開頭的稱呼大多數人都不會太注意,然而細節有時可以決定成敗。在西方國家,比如已婚女性和未婚女性所使用的表達就不一樣,因此在給女性客戶發郵件的時候請務必了解清楚。
用dear作為郵件的開頭肯定是沒有問題的,但是很多小夥伴卻忘了在後面寫上人名,電子郵件dear的後面一定要有「人」。因為翻譯的原因,很多人都認為「dear」是一個關系很親密的稱呼,但是在外國人眼裡這個詞其實是很正式的,就像我們寫信的時候寫的「尊敬的」、「敬愛的」等等。
所以在寫郵件的時候「dear」用在比較正式的場合,表示一種對他人的尊敬,後面可以加上名字或者姓氏。
如果是給不知道名字的人或者是在寫一封普通的郵件伍蔽鏈,可以在開頭選擇「Greetings」、「Hi there」。但在寫郵件的時候千萬別再使用Dear Sir和Dear Madam,這種說法過於老套並且很正式,給人一種你不必用心查找對方的名字的感覺,有點冒犯。還有「To whom it may concern」也不要用。
我們通常用的表達如下:

Starting——開篇

對大多數商務郵件的開篇而言,我們都可以通過提及與客戶之前的接觸來表示友好的問候。
首先可以提及下你跟客戶的「交情」並做出感謝。比如感謝客戶跟你在哪裡見過面、吃過飯、拜訪過公司、展會上聊天或者通過電話,談論過什麼內容等等。如果並沒有的話,那麼就感謝對方的來信。(甚至沒有及時回復對方的時候也表示感謝讓其等了很久)
通常我們會用這樣的表達:

在簡單寒暄之後,我們就可以直接點明寫信目的。此處請注意,在表達意圖的時候也要盡可能的簡潔明了。不然會讓客戶沒有興趣繼續讀下去。

State the main point——點名主旨

這一部分作為郵件的重點,需要向客戶表述你的主要訴求。比如你寫郵件是為了請求客戶幫忙、提供報價,詢問客戶問題、或者回應客戶需求,提供證明材料等。通常我們會用到這樣的表達:

一、使用統一的信紙(郵件背景),好有公司的商標,主要產品的圖片類別等等。外貿管理軟體中可以自動設置檔此、修改,再進行使用。

二、格式正確,統一,郵件主題合理,拼寫無誤。所有發給客戶的郵件應該採用統一的格式。外貿管理軟體可以幫助設置相應的格式與主題。

(1)郵件主題最好有公司名字等,比如公司名字是E_PORT,行業是PLASTIC,這封郵件的內容是給一款產品報價,那麼主題可以寫E_port Plastic/quotation of item A. 這樣有一個好處,可以方便客戶以及你自己以後查找給客戶的信息,對於來往郵件很多的客戶,開始的時候我往往要花很多時間去查找以前的報價以及 其它 資料,但是現在通過主題就很方便知道郵件大概內容是什麼,節省很多時間。

(2)郵件正文兩端對齊:對於段落很多的郵件,正文兩端對齊會顯得很整潔。

(3)第一封郵件最好寫上Mr.或者Ms.某某,職位寫SALES MANAGER等,不管你是不是經理,寫上沒關系,你職位高客戶會覺得把他當回事,有好處。

(4)落款有公司標識以及詳細聯系資料

三、版面整潔,在OE裡面將撰寫郵件的字體,字型大小(10-12號比較好)都設置好,不要一會大字一會小字;也不要花花綠綠的,特別是不要全篇都是大寫字母,會增加閱讀的難度,讓人反感。除非是對一些需要特別提醒客戶注意的地方,可以用大寫,加粗,特殊顏色等突出顯示。

四、拼寫無誤,在每封郵件發出之前都應該利用拼寫檢查工具檢查是否全部拼寫無誤。

五、表述准確,能夠准確表達我方的觀點,不要使客戶產生任何的歧義,盡量避免有歧義的單詞或者 短語 ,盡量避免使用 俚語 等。

六、詳細,能夠提供給客戶非常詳細的資料,回答他的問題,並將他沒有問到的問題提出來。有時候你提出的問題會讓客戶覺得你很細心,很可靠而且非常專業。當然,詳細並不是說一股腦的將所有東西都托盤清蠢改而出,應該學會在適當的時候談適當的事情。

七、有條理,能夠讓客戶清楚地明白郵件內容,談完一件事再談另外一件,混在一起會讓人頭暈。很多時候,用1,2,3,4等標出來你要說的東西會非常有用,客戶很清楚就知道你要說或者問什麼。

八、方式多樣,比如配合作圖說明,照片說明等,往往很多事情用語言很難說清楚,但是如果給一張圖紙,或者一幅

照片,那就一目瞭然了。比如你說你如何玉樹臨風,說再多什麼用,來張PP不就明白了?

九、及時,做到當天郵件當天答復,在收到郵件後應該馬上整理出自己不能解決的技術問題,及時提供給技術部門或者供應商,要求他們在什麼時候給予詳細答復。養成一個好習慣,在早上收到郵件後,整答判理出哪些需要詢問技術人員或者供應商的,將問題給他們後,再來回復能夠回復的郵件。如果不能當天答復,給客戶一個說明,為什麼答復不了,並承諾一個明確的時間。

十、適時跟蹤,一般客戶都是同時詢問很多的供應商,所以要適時提醒他你把他放在心裡,並讓他知道你在等待。比如公司有了什麼技術改進或者新的產品開發,可以發送給很多客戶,或許機會就在那裡。外貿管理軟體會隔一階段以系統通知的方式提醒業務員,某個客戶有多久沒有跟蹤聯系了。
